Estimate Templates ("we", "us") is operated by Estimate Templates (operated by SKYROI MARKETING TECHNOLOGIES FZ-LLC, UAE). This policy explains what data we handle when you use estimatetemplates.com.
The short version
- Free estimates never leave your device. The free estimate maker builds Excel, Word and PDF files inside your browser. We never receive your business details, customer details, prices or logo unless you subscribe to Estimate Pro and choose to save them or create an accept link. We never store generated files on our servers.
- Your draft estimate is saved in your own browser's local storage so you don't lose work. Clear it any time with "Clear form" or by clearing site data.
- We don't sell personal data and don't use advertising cookies. We use Google Analytics to count visits (with a consent banner in the EU/UK).
Data we do process
- Contact form: the name, email and message you send us, used only to reply. Kept up to 24 months.
- Server logs and rate limits: our server records standard request logs (IP address, browser, pages requested) for security, kept up to 30 days. Our application logs contain only counts and errors, never estimate contents, names or form fields. Rate limiting uses salted IP hashes held in memory, cleared within 24 hours.
- Analytics: we use Google Analytics 4 to count visits, template downloads and upgrades. See Google Analytics below.
- Estimate Pro saved data (opt-in): only what you choose to save: your business profile, logo and standard terms, saved customers, your price book, numbering settings and, if you tick "Save downloads to my estimate history" or create an accept link, the form data of those estimates (never the generated files). Limits: 100 customers, 200 price-book items, the latest 100 estimates and 5 MB in total per licence. You can delete it all at any time with "Delete my saved data" on the Estimate Pro page, and it's deleted automatically 30 days after your subscription ends.
- Accept links (Pro): when you create an accept link, a copy of that estimate (including your logo and the customer details you entered) is stored so your customer can open it. When the customer answers, we store their typed name, drawn signature, the time and their answer (and an optional decline reason), and show them to you. We record that the link was opened (a timestamp, not who opened it). Links expire after 120 days, and are deleted when you withdraw the link, delete the estimate or delete your data. The contractor who sent the link is responsible for the customer data they enter; customers can ask the sender or us to delete it.
- AI logo generator (Pro): only the business name, style and colour you enter are sent to our image provider (nanobananaapi.ai, using Google Gemini models). The generated image is passed straight to your browser; we don't store it or its link. We keep a count of generations per licence per month.
- Payments: handled by Stripe, which receives your email, payment details and billing address under its own privacy policy. We receive your subscription status and a customer ID; we never see your full card number.
- Cookies: Pro uses one essential, signed cookie (
etp_lic) to remember your licence in this browser. It isn't used for tracking.
Google Analytics
We use Google Analytics 4 (Google Ireland Ltd / Google LLC) to understand which pages and templates are useful. It records pages viewed, approximate location (country/city), device and browser type, and events such as "template downloaded", "estimate downloaded (format, trade)", "accept link created", "upgrade clicked", "checkout started" and "purchase". We never send estimate contents, business or customer names, file names or anything you type into the maker. IP addresses are not stored by GA4. We don't use Google advertising features, and ad storage is disabled everywhere.
- EU/EEA, UK and Switzerland: analytics cookies are off until you click "Accept" in the cookie banner. If you decline, nothing is stored and Google only receives cookieless signals under Consent Mode.
- Other countries (including the US): analytics cookies (
_ga,_ga_*, up to 2 years) are set by default. - Opting out: clear this site's data to see the banner again (EU/UK), use your browser's tracking protection, or install the Google Analytics opt-out add-on.
Advertising
Some content pages may show ads in the future. If that requires non-essential cookies, we'll ask for consent first and update this policy.
Your rights
You can ask us to access, correct or delete personal data we hold about you, including under the GDPR, UK GDPR, CCPA/CPRA and UAE PDPL where they apply. Email hello@estimatetemplates.com.
Children
This service is intended for businesses and adults. We don't knowingly collect data from children under 16.
